Global Data and Information Governance

Duration: 6+ Months (40hrs/weeks)

Job Summary:

  • Client is looking for a Data and Information Governance Analyst to be part of its Privacy and Data Protection team as a remote contractor.
  • The individual will assist the Data Management Lead and the Sr. Manager, Information Governance in continuing to enhance the policies, procedures and execution of Client’s Data Management and Data Protection program, which is designed to ensure that the company’s data is appropriately managed and protected across the information lifecycle. The remit of this role will focus on supporting cross-functional collaboration and capability development to ensure governance goals, data management lifecycle standards and best practices for both physical and electronic data and records are reached. The analyst works proactively with the various business units and other internal departments and organizations to implement practices that meet Client’s defined policies and standards for data and records management.

Key Responsibilities:

  • Support maturation of data management capabilities and services at Client, particularly with respect to unstructured data.
  • Contribute to the development, maintenance, and implementation of policies and procedures related to the management, storage, and retention of data, including physical and electronic records and other data. Including but not limited to Information Governance, data classification and labelling, records management, email, and file share management.
  • Advise business on data management requirements as appropriate, which may include acquisition / divestiture activities or new process or systems implementations.
  • Act as initial contact with business functions with regarding to implementation and support of information classification and data records management practices.
  • Perform data management gap analyses, collect, analyse, and interpret data. Create KPIs and track progress on initiatives.
  • Perform day-to-day departmental tasks including administration of Physical Records Storage system, preparation of forms for approval, and routing of forms for approval.
  • Navigate through and relate organizational and technology road maps to information governance initiatives.
  • Help ensure processes support ability to maintain an accurate and up-to-date data inventory.
  • Support training and awareness programs to educate employees and new hires on the Company’s data management, and records and information management policies and procedures.
  • Help business functions ensure records are controlled and managed in a compliant manner throughout their life cycle including storage and archiving, and that the record management system meets company procedures, regulatory requirements, and industry standards.
  • Provide guidance to business and IT on how to appropriately archive and/ or delete data and records in a compliant, efficient, and appropriate way.
  • Other duties and projects as assigned.

We would expect successful candidate to have both relevant experience and potential for further growth. We anticipate successful candidates will have:

  • A bachelor’s degree in a relevant field (Information Management or Library Science) or equivalent work experience.
  • 5-7 years of experience in Records Management, Information Governance, or a related discipline.
  • Certified Records Analyst (CRA), Certified Records Manager (CRM), or Information Governance
  • Professional (IGP) or certifications are preferred.
  • Proficiency in Microsoft products such as Word, Excel, PowerPoint, Outlook, Share Point, etc.
  • Experience working with offsite storage vendors and their systems.
  • Experience working in the pharmaceutical or biotechnology industry preferred.

  • Demonstrated knowledge of records and information management, information governance and physical and electronic records management principles and best practices and digital preservation theory and practice.
  • Direct experience implementing and performing daily tasks of data management, records management and/ or information governance programs, including all the elements that make up a best-in-class data management program. Experience with archiving information, data discovery and/ or records and lifecycle management systems strongly preferred.
  • Excellent verbal and written communication skills required.
  • Excellent interpersonal skills with the ability to interact and communicate effectively with all levels of management and staff across multiple departments and with service providers.
  • Demonstrated ability to operate effectively in a matrixed environment: Building and managing peer and management-level relationships through achievement of results, accountable to schedule, and allocation of resources and meeting customer needs.

  • Knowledge and Experience with physical records management, offsite storage vendors and their systems.
  • Understanding and experience with Electronic Data Records Management Systems (EDRMS) such as Micro Focus, Open Text, etc.
