Project Coordinator

Duration:  2 Months.

Pay Rate: $19.50 - $45/HR

As Project Coordinator, you will work closely with the Vehicles Brand Creative Operations Team to support and ensure the successful delivery of projects on time, within scope and budget. You are the icing on the operations cake that we are missing!

With excellent communication skills, you will keep stakeholders informed with timely communication via established workflows/best practices including our work management applications (Adobe Workfront and Microsoft Teams) as well as responding to emails or phone calls as necessary. You will be seen as a reliable resource answering questions, handling requests and providing guidance when project managers are unavailable.

As Asset Coordinator, you will be responsible for keeping our files organized and information accessible. Uploading, organizing, and maintaining asset files for distribution, in addition to retrieving/trouble shooting and fulfilling file requests as needed.

Responsibilities:
You will have the opportunity to work on a wide range of projects varying in nature to support the Vehicles Division at Mattel. Includes but not limited to:
• Project Coordination
o Manage and drive progress on small-to-mid-level projects with minimal oversight from the Operations Team (projects could range from digital to print to events, guides or PPT Templates, or edits to sizzle videos for example)
o Maintain status report with real-time communication to the team and stakeholders, escalate issues as needed as well as contribute to status meetings for assigned projects.
o Assist Operations Team to develop project schedules, vendor contracts, documentation, note taking, scheduling kick-off and review meetings,
o Monitor project progress from inception (triage new requests), assist designers with assets, route proofs, handle any issues that arise during the project lifecycle until completion (DAM upload, meta data, and archiving)
o Interface and maintain relationships with key cross-functional partners as well as outside design/production resources to complete all project deliverables
o Assist with Vehicle Brand Creative team with general administrative tasks such as gathering meeting agendas, preparing swag bags, email announcements, and data entry
o Assist with planning and executing team activities, resources, equipment, and operational items to keep things running smoothly
o Assist in identifying ways to improve project workflows and drive efficiencies

• Asset Coordination
o Request assets from cross-functional teams, follow-up as needed
o Responsible for uploading all Vehicles guides & assets to Mattel’s Digital Asset Management (DAM) system for global distribution and access
o Fulfill and respond to asset requests submitted to department as needed
o Information gathering from requestors on what assets are being used for, timing, and preferred file format and method of delivery
o Thorough understanding of all file/asset delivery methods and which method is most appropriate based on request/requestor
o Work closely with the DAM-team as needed
WHAT WE'RE LOOKING FOR:
• Positive attitude and willingness to learn
• 1-3 years of experience working in project/campaign management or creative services role in media, digital, or post-production related fields
• Experience within a variety of media a plus (print production, broadcast, digital, social media, consumer goods and/or retail)
• Mid-level knowledge of Microsoft Applications (Word, Excel, PPT, Teams)
• A basic understanding of the graphic design process and familiarity with Adobe Creative Suite, Print, Digital.
• Familiarity with work management software (Adobe Workfront, Asana, Trello, Monday, Wrike, etc.) and/or project management knowledge and theory (Agile, Kanban, SCRUM)
• Familiarity with DAM software (digital asset management and metadata), file taxonomy, nomenclature
• Detailed-oriented with strong organizational skills -- must be able to prioritize and jump from task to task while coordinating with those around you
• Must be detail-oriented, resourceful and can follow directions
• Excellent verbal and written communication skills to communicate with stakeholders (take clear concise notes and relay them back to the internal creative team).
• Comfortable working for a large company with a complex corporate structure (lots of cooks in the kitchen and meeting-heavy culture)
• A critical thinker who can make smart decisions, be proactive and self-motivated
• Ability to work independently and as part of a team
