Note:- Looking for candidates who similarly have pharma experience with routing contracts and sponsorships.

 Senior Administrative Assistant

 We are seeking an energetic and motivated Senior Administrative Assistant to join our team. This is a position that provides broad exposure to the activities of the company’s U.S.-based Neurology Marketing Department and Director / Senior Director level associates. Responsibilities include but are not limited to:

The ideal candidate possesses the following qualities:

  1. Administrative responsibilities (~15 hours/week)
  • coordinating teleconferences and Teams Meetings
  • managing departmental PO processing (i.e., open POs and process invoices)
  • managing team calendar and travel itineraries (including international, as needed)
  • processing team expense reports in Concur
  • overall administrative support for the department
  • Assisting with the preparation of monthly departmental reports
  1. Processing sponsorship requests (~20 hours/week)
  • Ensuring necessary review, routing and approvals of unsolicited sponsorship requests submitted by RTLL
  • Following RTLL submission, following requests through to vendor payment confirmation
  1. Special projects as needed (~5 hours/week)
  • Administering the department’s SharePoint site including uploading, organizing, tracking and updating documents (as needed)
  • Taking notes and track action items from team meetings (as needed)
  • Serving as the department’s liaison with other company departments to schedule trainings (as needed)

 Our ideal candidate will have the following skills and/or experience:

  • Associate degree is required. BA/BS degree preferred
  • At least 5 years prior work experience in an environment supporting multiple team members
  • Highly pro-active with the ability to plan and manage tasks and long-term projects with minimum supervision
  • Highly organized and pays close attention to detail; ability to work in a fast-paced environment and to multi-task
  • Excellent written & oral communication skills
  • Exhibit business maturity and judgment in interactions with internal and external personnel
  • Self-motivated and has the initiative to ensure critical sensitive and/or confidential issues are handled appropriately; demonstrates ability to manage individual relationships with diplomacy
  • Strong MS Word, PowerPoint, Excel skills, and technology skills (i.e., Skype, Microsoft Teams, SharePoint, etc.)
  • Experience in SRM, Concur, CounselLink (AggSpend), DocuSign, Read Soft required
