We are seeking an office assistant to provide mail center operations support and support services to internal and external customers as it relates to the Office Services department. Assisting with mail operations, inventory, equipment maintenance, delivery requests, furniture moves and print management services

Job Responsibilities:

  • Review, sort, and route all incoming postal, interdepartmental, and outgoing mail ensuring that proper procedures of handling, opening and distribution of mail to locations, vendors and/or individuals.
  • Ensure that internal mail pick up and deliveries are conducted at scheduled times throughout the day, including customer requests and/or expedited packages.
  • Receive and unload deliveries of express couriers, stock or non-stock shipments, log into tracking system and stock or deliver material as needed.
  • Package and ship accountable packages (UPS, Fedex, USPS,etc) using the outbound tracking and shipping system. Answer customer inquiries as it relates to mailroom operations or support.  Perform package tracking utilizing HAP's tracking system and provide information or direction regarding the status of deliveries.
  • Assist internal departments by fulfilling requisitions, work orders, material and marketing related display setup requests. Stage, load and transport materials to ensure requests are delivered and available at various sites to support operations throughout the company (i.e. shipments, mail, office supplies, hand deliveries, etc.).
  • Process stock supply and print requests for internal departments. Coordinate emergency printing and production requests for departments, with outside vendors, during printing equipment interruptions.
  • Support employees working remotely by printing /mailing all outbound correspondence submitted to Print Services email. Email confirmations of mailing to requestors on all items submitted via email for processing. Provide coaching and training to employees on sending requests properly and proper address formatting.
  • Fulfill all requests for production printing. Perform normal operator maintenance on Print Center production equipment. Use Fiery software to build print jobs.
  • Maintain operating inventories for all printers. Create re-order points for Print Center supplies and order as needed, Assist Department Supervisor with volume tracking and reporting.
  • Maintain office equipment, including postal meter for 1st Class and certified outgoing U.S. Mail, outbound tracking and shipping system, printers, and lift truck equipment. Investigate any problems, troubleshooting issues, and contact service technicians when necessary.
  • Act as a liaison and resource as it relates to equipment and printing devices by reviewing and opening tickets, performing technical support, scheduling service, updating tickets and closing incidents in the current Incident Management System.

Skills:

  • One (1) year of Mail Center Operations experience.
  • One (1) year of general work experience.
  • One (1) year of warehouse experience.
  • Experience with Microsoft Office, including Word and Excel

Education/Experience:

  • High school Diploma
