Small Description: The TA Onboarding Specialist supports the Talent Acquisition onboarding process by conducting high volume onboarding and verification video calls for newly hired employees. This fully virtual role ensures candidates are accurately verified, clearly informed, and efficiently progressed through onboarding stages. The specialist manages fluctuating hiring volumes while maintaining professionalism, accuracy, and a strong candidate experience. Responsibilities include scheduling onboarding calls, reviewing documentation, completing system updates, and maintaining compliance records. The role requires strict confidentiality, sound judgment, and timely escalation of issues. Reporting directly to the Vendor Manager, the specialist also supports Talent Acquisition tasks during lower volume periods as assigned.

Job Responsibilities:

  • Conduct onboarding and verification video calls daily, managing high volumes while ensuring candidate identity confirmation.
  • Complete each onboarding call professionally within standard timeframes, delivering clear information and consistent process adherence.
  • Schedule onboarding sessions and coordinate candidate availability within defined onboarding windows and hiring timelines requirements.
  • Review and verify required documentation during onboarding calls, ensuring compliance accuracy and complete candidate records.
  • Maintain backend onboarding tasks including system updates, compliance documentation, hiring trackers, and detailed onboarding logs.
  • Escalate onboarding issues, discrepancies, or candidate concerns promptly to Vendor Manager for guidance and resolution.
  • Support additional Talent Acquisition activities during lower volumes, providing administrative and coordination assistance as assigned.

  • Flexibility and calmness under pressure supporting positive experiences during high volume onboarding cycles consistently effectively.

Education/Experience:

  • High school diploma or equivalent required to qualify for the Talent Acquisition onboarding role position.
  • Minimum one year experience in HR, recruiting, onboarding, or Talent Acquisition coordination roles required experience.
  • Previous experience scheduling and managing high volume calls or appointment based workflows in professional environments.
  • Demonstrated strong verbal and written communication skills required for candidate interactions within remote onboarding processes.
  • Excellent organizational skills and attention to detail necessary for accurate onboarding task completion and tracking.
  • Ability to work independently in remote environments while remaining highly responsive to business needs consistently.
  • Experience using Workday, Paradox, Microsoft Office, Zoom, Teams, and data entry systems for onboarding operations.
