Location : Richland, WA (Onsite) Responsible for providing advanced administrative and technical support to Finance leadership while managing confidential assignments, coordinating departmental operations, supporting budgeting and procurement activities, and ensuring compliance with organizational processes. The role requires strong organizational, analytical, and communication skills to support leadership and improve departmental efficiency.

Job Responsibilities:

  • Provide high-level administrative and technical support to Finance leadership and direct reports.
  • Prioritize assignments, resolve administrative issues, and recommend process improvements.
  • Prepare meeting agendas, briefing materials, presentations, reports, and meeting minutes.
  • Coordinate department meetings and track action items to ensure timely follow-up.
  • Draft, edit, and distribute professional correspondence, reports, and memoranda.
  • Monitor corrective action reports and track completion of assigned tasks.
  • Maintain departmental status reports and analyze trends to identify improvement opportunities.
  • Support departmental budget development, monitoring, reconciliation, and financial reporting.
  • Administer purchasing activities, including procurement requests, contract requisitions, change requests, and credit card reconciliation.
  • Coordinate calendars, meetings, training schedules, and qualification tracking for department personnel.
  • Manage travel arrangements, expense reimbursements, onboarding activities, and site access for employees, contractors, and visitors.
  • Maintain confidential records and documentation in compliance with records management standards.
  • Assist with contract preparation, documentation processing, and departmental planning initiatives.
  • Support continuous improvement efforts by identifying operational enhancements and improving communication processes.
  • Participate in emergency response and outage support activities as assigned.
  • Perform additional administrative and technical support duties as required.

Education/Experience:

  • High School Diploma or GED required.
  • Minimum of five (5) years of administrative or technical support experience.
  • Experience supporting executive or senior leadership preferred.
  • Experience with budget tracking, procurement, contract requisitions, and records management preferred.
  • Strong analytical skills with the ability to interpret data and recommend process improvements.

Monitor, prioritize and track the timely closure of NCs, CAPAs and Complaints for the Plainsboro Plant facility Facilitates the development, implementation and monitoring of quality programs and policies that ensure that the development, manufacture and distribution of medical products is in compliance with corporate policies, U.S. Food and Drug Administration regulations, ISO 9001, ISO 13485, the Medical Device Directive, the Canadian Medical Device Regulations (CMDR), and other applicable regulatory agencies. The QA Engineer II will collaborate with site NC investigators and CAPA owners from cross-functional areas to facilitate timely and effective closure of all Quality System records. The QA Engineer II will provide guidance to both technical and non-technical cross functional resources on how to conduct effective investigations and corrective actions, and will troubleshoot, escalate, and aid in resolving all product and/or process quality issues.
